“With NikoHealth, we’re cutting down on costs; paper costs, people costs, and it's helping us compete with national DMEs.”
Synergy Orthopedics is a medical equipment supplier specializing in bracing, orthotics, and prosthetics. Based just outside Philadelphia, they serve eastern Pennsylvania, Delaware, New Jersey, Maryland, and parts of New York and North Carolina. Sarah Staley, Strategic Advisor, has shifted her role from overseeing billing, data entry, customer service, and inventory to focusing on positioning the company for growth by increasing efficiency and preparing for the future.
“We were doing double entry… into our inventory software and QuickBooks. It was just not efficient.”
For more than a decade, Synergy operated on a legacy system that could no longer keep pace with their growth.
Key issues included:
– Operating in siloed programs for billing, inventory, and accounting.
– Inefficient double-entry across multiple systems.
– Limited ability to scale with their future goals.
Synergy researched 6–7 different platforms, demoing options like Brightree, Curasev, Nimble, Bonafide, and DME Works. NikoHealth stood out for its scalability, flexibility, and partnership approach.
“It really felt like NikoHealth was on the same track. We want to grow, we want to get bigger, we want to do things faster and better – and it felt like NikoHealth was on that same track.”
Synergy now receives payments from payers much quicker, dramatically improving cash flow and overall financial health.
“We billed on a Wednesday and had payment by Monday. That was not something we’d ever been used to before.”
Claim processing and reimbursement timelines have shortened, giving the team more predictability and efficiency.
“We’re seeing payment faster and able to work claims faster… probably like 5 to 10 business days quicker from payers.”
Tasks that once took much longer are now streamlined, enabling staff to do more with fewer resources.
“The system is giving people who may not normally communicate a reason to talk and work through snags.”
The platform encourages continuous learning, with new efficiencies being discovered even months after go-live.
“I’m still learning. Every day there’s something new.”
By digitizing patient intake and automating manual processes, Synergy is reducing costs and setting itself up to scale.
“We’re building digital forms that flow directly into Niko, cutting down on paper costs, people costs, and it's helping us compete with national DMEs.”
The system runs quickly and consistently, without glitches or downtime, giving staff confidence in their daily workflows.
“The speed. Definitely the speed. I don’t think I’ve ever seen it freeze or have a glitch… everything moves so quickly.”
