Several DME platforms, including Brightree, Bonafide, and NikoHealth, support multi-branch DME billing from one central team. The real test is whether that team can bill every branch’s claims under the correct supplier number and still see collections, denials, and inventory broken out by location, without exporting to spreadsheets.
How Multi-Branch DME Billing Works
Centralized billing does not merge your branches into one Medicare supplier. Under 42 CFR 424.57, each physical location enrolls separately and gets its own supplier number. A central billing team submits claims for every branch, but each claim must carry the location that furnished the item.
Where the claim goes is a separate question. Each DME MAC processes claims for beneficiaries who live in its jurisdiction (CGS DME MAC Jurisdiction C Supplier Manual, Chapter 1). A branch near a state line can bill two DME MACs in the same week. Commercial payer contracts and fee schedules can also differ by state, so payer rules need to be set by region.
Location-Level Reports Worth Asking For
Report | Why it matters by branch |
Days in A/R | Shows which branch’s cash is slowing |
Denial rate and top reasons | Points to intake or documentation gaps at one site |
Unbilled and held orders | Shows where claims stall before submission |
Inventory on hand and asset value | Catches shrink and overstock per site |
Pending proof of delivery | Proof of delivery is a supplier standard, and missing forms put payment at risk |
Ask to see the company-wide roll-up and the branch drill-down in the same dashboard, not as two separate exports. Here are the DME KPIs operations directors track.
What Software Cannot Fix
Branch reports show you where locations differ. Closing the gap still takes shared policies, training, and one owner per process. Multi-state operations add payer rules the software must be configured for, as with Medicaid waiver billing across states. This guide to multi-location DME management covers the operating side.
How Platforms Handle It
- NikoHealth for enterprise shows billing, inventory, and operational metrics across all sites in real time, with payer rules configurable by region.
- Brightree publishes multi-location customer stories, such as MedCare Equipment Company citing “our large fleet and multiple locations” on its Mobile Delivery page.
- Bonafide lists real-time KPI dashboards and direct export into your general ledger.
Quality DME moved its multiple locations onto NikoHealth company-wide for “transparency and real-time data” (case study).
